The per image trap
Here is the part that decides whether a team shoot costs what you were quoted.
There are two retouching models in this market.
Flat rate. The session fee includes finished, retouched images for everyone photographed. The number you agree to at booking is the number on the invoice.
Per image. The session fee covers the shooting day. Every retouched image is billed separately, commonly between $100 and $150 each. The quote looks lower. The invoice does not.
Work it through on a twenty person team.
Under a per image model, a session fee in the low four figures plus twenty finished images at $125 each adds $2,500 in retouching alone on top of the shooting fee. One image per person, which is the bare minimum, and you are past $3,500 before anyone asks for a second option.
Under flat rate, twenty people fall inside the $2,500 four hour tier. Everyone photographed gets a finished image. That is the invoice. If someone wants an additional retouched frame later, it is $50, not $125.

On site versus studio
For an individual, a studio session is usually fine. You are one person, you can travel, and a controlled space gives the photographer full lighting control.
For a team, on site wins almost every time, and the reason is arithmetic rather than aesthetics.
Sending twenty employees to a studio means twenty round trips, twenty scheduling conflicts, and a no show rate that guarantees you are booking a second session for stragglers.
